Follow the below instructions to backup mailbox data via DRS Webmail Backup Tool
Step-1
Download the DRS Webmail Backup Tool. Install the application and run it as administrator.

On the first page, the application offers two migration modes: Single Mode and Batch Mode.

The single mode allows you to migrate a single email account. You can choose any email provider from the list of available options.
Step-4
The Batch Mode is for migrating multiple email accounts at once.

In the Batch Mode, click the Add Row button to add an empty row.
Step-6
Enter the login credentials of desired email accounts in the empty row.

Similarly, you can add multiple empty rows by pressing the Add Row button. After that, enter the login credentials of all the email accounts you want to migrate.

Click the Import CSV option to add multiple email accounts through a CSV file. You can download a sample CSV to check the format of the CSV file.

Now, we are selecting the Single Mode for demonstration. You can opt for any mode as per your requirement.

Select the source email provider from AWS, AOL, Zoho, Yahoo, Yandex, Hotmail, Outlook, GoDaddy, and HostGator. Here, we are selecting Zoho.

Now, provide the Email address and App password of the desired Zoho email account. The application automatically fills the Port and Host. Click Login.

After that, the application displays the mailbox preview in the tree structure. Choose the required mailbox items and press the Next button.

Expand the Choose File Format/E-mail Client for a backup option. You will see the list of destination file formats and email clients.
Follow steps 1 to 13 as mentioned above. After that, perform the below procedure to backup Zoho Emails to PST file format

Choose PST file format from the list and click on the Next button.

Now, you will see various options for making the backup precise and accurate.

The Remove Duplicate Mail option allows you to skip duplicate emails while migrating mailbox data. Enable this option and choose the parameters to identify duplicates.

Tick the Free Up Server Space option. It will automatically delete emails from your Zoho mailbox server after completing the Zoho backup.

You can exclude email attachments from migration and migrate only emails with the Migrate Emails without attachment files option.

Additionally, if you want to save the email attachments at a distinct location, select the Save Attachments in Folder option and provide the specific path.

The Date Filter feature allows you to migrate emails of a particular date range and skip the rest. Enable the Date Filter option and provide suitable Start Date and End Date to use this functionality.

Tick the Custom Folder Name option and type the desired name in the given field.

The Split PST option breaks the resultant PST file into multiple smaller files. Mark this option and provide the appropriate size for the resultant smaller files.

After choosing all the migration options, click on the Convert button to start backing up your Zoho mailbox to PST file format.

The application migrates your mailbox data. Wait till the process gets completed.

After finishing the Zoho to PST backup, the application shows the conversion report. Click on the Download Report button to download the conversion report.

To check the resultant file, click on the View button. If you want to return to the homepage, click on the Home button.

Choose Office 365 from the list of file formats/email clients and click the Next button.

After that, click on the Login button. It will redirect you to the Microsoft 365 login page.

Choose from an existing Microsoft account or provide the login credentials of another account.

After successfully verifying your login details, you will see an Authentication Successful message. Go back to the tool.

You will see the mailbox ID of the selected Office 365 account in the tool. Click on the Next button to proceed further.

Now, choose the Office 365 Mailbox type and press Next to proceed further.

Now, you will see different options to exclude unnecessary Zoho mailbox data.

Select the Remove Duplicate Mail option to filter out all duplicate mailbox items. Tick the parameters for duplicate removal: Subject, Body, From, and To.

The Free Up Server Space option will delete emails from your Zoho mailbox after migration. Tick this option to create free space for new emails in your mailbox.

If you want to migrate emails only and skip email attachments, select the Migrate Emails without attachment files option.
Step-24
Select the Date Filter option and provide the appropriate Start Date and End Date. This feature enables you to migrate emails of the defined date range.

After that, tick the Custom Folder Name option and provide the appropriate name in the Custom Folder Name option.

At last, click on the Convert button to migrate Zoho emails to Office 365 accounts.

The application initiates the migration. It will take some time depending upon the size of your Zoho mailbox.

After completing the migration, you will see a conversion report. You can download this report as a CSV file by pressing the Download Report button.

Click on the View button to check the resultant file. If you want to return to the home screen, click on the Home button.
